A routine, a scheduled task and a loop can all repeat work. The difference is what controls the repetition.

  • A routine decides which steps repeat.
  • A schedule decides when the work starts.
  • A loop decides whether the work is finished.

Routine

A routine is a set of known steps completed in the same order each time.

Use it when: You already know how the task should work.

Example: Turn a meeting transcript into decisions, action items, owners and follow-ups.

The information changes each time. The steps stay the same.

Scheduled Task

A scheduled task starts work at a specific time or on a repeating schedule.

Use it when: The task needs to happen without you remembering to start it.

Example: Run the meeting follow-up routine every Friday at 4 p.m.

A schedule doesn’t improve the task itself. If the routine produces a bad result manually, scheduling it only gives you a bad result on time.

Test the task manually before scheduling it. Review the first few runs, then adjust the instructions if needed. OpenAI recommends the same approach for scheduled tasks in ChatGPT.

Loop

A loop repeats work until a clear condition is met.

Use it when: One attempt may not be enough.

Example: Draft an article, check whether every claim has a source, replace unsupported claims and check again.

A useful loop needs three things:

  1. Action: What should it do?
  2. Check: What should it review?
  3. Stopping rule: How will it know it’s finished?

“Make this better” isn’t a useful loop because “better” has no finish line.

“Rewrite the opening until it names a specific problem, avoids banned phrases and makes sense without the rest of the article” gives the loop something it can actually check.

How they work together

Imagine a weekly content system.

Schedule: Start every Monday at 9 a.m.

Routine: Collect saved ideas, choose one, create an outline and write the first draft.

Loop: Check whether the hook is specific. If it still sounds generic, rewrite it and check again. Stop after it passes or after three attempts.

The schedule starts the work. The routine moves it forward. The loop checks whether it is ready.
